Set up your Switchboard Sites Email with other email clients

Welcome to Switchboard Sites!

Each Switchboard Sites website that uses a customized domain name can also have email addresses using the same domain.If you don't with to simply forward your email to an external account you already own, there are several ways to check your Switchboard Sites email, described below. If you haven't set up email your Switchboard Sites domain, but would like to, please contact us at MAIL. Please read the settings notes and instructions thoroughly; if you are unable to connect your device to device to the mail server, contact us at MAIL with details so we may help.

Note: For these tutorials, we will use yourdomain.com as a placeholder example of a custom domain name.

SECURE SSL/TLS SETTINGS (RECOMMENDED)

Username: Full SFG email address
Password: SFG email account password

Incoming Server: vps3.ashevillewebhosting.net

IMAP Port: 933 (SSL)

POP Port: 995 (TLS)

Outgoing Server: vps3.ashevillewebhosting.net

SMTP Port: 587 (SSL)

SMTP Port: 465 (TLS)

  • Authentication is required for IMAP, POP3 and SMTP

  • IMAP email access coordinates between the server and your mail application. Messages that you have read, deleted, or replied to will show up as such, both on the server and in the email application

  • POP3 does NOT coordinate with the server. Messages that the mail application marks are read, deleted or replied to will not show up as such on the server. This means that future meial downloads with POP3 will show all messages as unread

  • The system uses SMTP to send outgoing mail.

COMCAST/TIME WARNER USERS

You will need to use SMTP Port 465 (SSL) for outgoing mail as COMCAST reportedly blocks 587

Webmail

This is probably the simple method of accessing your email. You can use webmail on any computer, with any browser. Follow the instructions below to access your webmail account


Outlook

If you have Microsoft Office instqalled, you can check your mail using Microsoft Outlook. This program is available for Apple & Windows computers. The settings and pictures below are from Microsoft Outlook 365; However the setup and settings are more or less the same for older version of Outlook, Outlook Express and Microsoft Mail.

  • Open up Outlook. Go to File > Add Account. If you have not previously setup an account, it will automatically start the Add Account prompt. When the window below opens up, enter your email address.

  • When asked to choose service, select IMAP and click Next

  • Now enter vps3.ashevillewebhosting.net for incoming Mail and Outgoing Mail Server. Etner 993 for the incoming Port and either 587 or 465 for the outgoing port. Set "Encryption method" to SSL/TLS for both Incoming Mail and Outgoing Mail. Select "Require logon using Secure Password Authentication" for both incoming and outgoign mail. Click Next

  • Enter your password

  • If you get an error like shown, click "Change Account Settings" and then change the port number to the one your did not use in the previous step (either 698 or 465)

Mac Mail

  • Open up Mac Mail. If you have not previously setup an account, it will automatically start the "Choose a mail account provider" prompt. When the window opens up, choose "Other Mail Account" and proceed. If this does not work, click on Mail > Preferences > Accounts and then the + sign at the bottom.

  • Complete the three boxes, "name, "Email Address" and "password" and then click sign in

  • On the next screen, fill out email address, user name. Make sure "Account Type" is set to IMAP and incoming/outgoing mail servers are set to vps3.ashevillewebhosting.net and then click sign in.

  • Go to Mail > Preferences > Accounts

  • Click on the account you just created. Then click on "Server Settings". Unselect "Automatically manage connection settings" for the incoming and outgoing mail server. Click the "User SSL/TLS" boxes. Change the port to 993 for incoming and 587 for outgoing. Click save.


GMAIL

Some users may wish to check and resport from SFG account using Gmail, rather then simply having it forwarded. To do this, follow the steps below for directions

  • Log into your Gmail account and click on the Settings icon, and select "See All Settings" from the menu

  • Click on 'Accounts and Import', then under "Check mail from other accounts" click "Add a mail account":

  • Enter your SFG email address and click Next Step

  • Select Import emails from my other account (POP3)

  • Enter in the settings as shown below, substituting your SFG email address in place of [email protected], and click "Add Account"

Be sure to change the POP Server field to vps3.ashevillewebhosting.net

  • To be able to respond and send mail as your SFG account, select "YES" and click on Next Step.

  • Enter your name, un-check "Treat as an alias' and then click Next Step.

  • Enter in the settings as shown below, substituting your SFG email address in place of [email protected], and click Add Account

  • Shortly after completing the last step, you will receive an email with a confirmation code to verify your account. This will be sent to your SFG account, which should now show up in your Gmail inbox. If not, you can check your SFG account via webmail for the code. Enter the code in the window, like below.

  • That's it! You should now see emails sent to your SFG account appear in your gmail inbox, labelled by your SFG email address. You should also be able to send and respond using your SFG account.


IPHONE/IPAD

Follow the instructions below to setup your iPhone or iPad to use your Switchboard Sites email

  • Go to Settings > Mail, Contacts, Calendars

  • Select "Add Account" as shown below

  • Choose "Other"

  • Now select Add Mail Account

  • Enter your name, full email address, email account password, and description (like SFG). Click Next

  • Now enter in your settings. Use vps3.ashevillewebhosting.net for the host name for both incoming and outgoing. Etner your full email addresss and password for both as well. Click Next

  • If you receive a message that says "Cannot Verify Server Identity" click continue. This step may take a few minutes and may ask you twice. Once the settings have been verified you should be able to receive and send from your Switchboard Sites email!
